In a matter of weeks, countries have literally shut down the vast majority of their activities and went into quarantine with the purpose of guarding their citizens (and health systems) against the Covid-19 threat.\u00a0<\/p>\r\n<p>As a result, businesses of all kinds have had to adapt quickly to the changing landscape. The luckiest were already able to continue their operations remotely. The others had to find new ways to keep in touch with their customers and keep their businesses going.\u00a0And here&#8217;s where booking systems have captured more attention. Because you can use a booking system for a variety of scenarios, such as arranging online appointments, setting up an online class, and more.<\/p>\r\n<h2>Setting Up a Booking System with 123FormBuilder<\/h2>\r\n<p>123FormBuilder is an online <a href=\"\/\">form builder<\/a> that can be easily used to create your very own booking\u00a0<a href=\"https:\/\/123formbuilder.polarbuildingcleaning.net\/data-management\/\">data management<\/a>\u00a0system without coding.<\/p>\r\n\r\n<div class=\"wp-block-buttons is-content-justification-center btn btn-primary is-layout-flex wp-block-buttons-is-layout-flex\">\r\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link\" href=\"https:\/\/123formbuilder.polarbuildingcleaning.net\/free-form-templates\/gallery-booking-forms\/\">Get a Booking Form Template<\/a><\/div>\r\n<\/div>\r\n\r\n<p>The guide here is the first of a longer series we\u2019re putting together to help businesses move their activity online. We will start with how you can take online bookings for businesses and institutions such as schools and educational institutions were among the first ones to close. If you would like to learn more about moving your activity online, so make sure to hit the subscribe button at the end of the page and stay tuned for more information &#8211; we\u2019ll be posting one of these each week to help businesses from a wider array of circumstances.<\/p>\r\n<p>So, without further ado, let\u2019s jump right into the topic of the week: how to create an online booking system the easiest way possible.\u00a0<\/p>\r\n<h2>Learning the Basics on the Free Plan<\/h2>\r\n<p>Even on a free plan, you can do SO much with 123FormBuilder. There is a pretty wide range of features available to free users &#8211; and although they might be limited (e.g. you can only have 10 fields per form, 5 forms, and 100 submissions per month), they will still provide you with a good array of options.\u00a0<\/p>\r\n<p>The entire <a href=\"\/\">form builder<\/a> was created to be easy to work with. The principle is simple: you add fields by clicking on \u201cFields\u201d from the blue sidebar (first button is \u201cFields\u201d) adjust form settings (such as conditional formatting, payments, products, and notifications) the left hand sided sidebar (with blue icons)\u00a0<\/p>\r\n<p>The example in this section is created entirely using our free plan, to exemplify how you can use it to take online bookings. More specifically, we imagined an online school that offers three main courses: Advanced Math, Modern English Literature, and Chemistry and created an <a href=\"https:\/\/123formbuilder.polarbuildingcleaning.net\/free-form-templates\/Online-Registration-Form-3552564\/\">online registration form<\/a> to suit this purpose, as follows:\u00a0<\/p>\r\n<p>1. Start adding fields by selecting them from the left-hand bar or by dragging and dropping them into the form. We added a few personal information fields, as you can see in the image below.\u00a0<\/span> 4. Add a multiple-choice field to allow future students to select the course they want to enroll to. <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Multiple%20Choice.png\" alt=\"booking system form editor\" width=\"1660\" height=\"729\" \/> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Multiple%20Choice%202.png\" alt=\"booking system with multiple checkboxes select\" width=\"1596\" height=\"766\" \/> <span style=\"font-weight: 400;\">Multiple-choice fields enable you to create a list of options for the user to choose from. You can set this up to only allow one or a certain number of options to be selected, you can add an open-end option (to enable users to add their own answer), and you can use this field as a quiz as well. When you click on this field in the form you\u2019re creating, you will see a menu in the left-hand side of the screen &#8211; this is where you can make all the adjustments you need to make on your multiple-choice field.\u00a0<\/span> <span style=\"font-weight: 400;\">Optionally, you can also add a Single-Choice field. For instance, your courses might be grouped based on age. In this case, you have to select the single choice field option from the form builder\u2019s \u201cFields\u201d menu, and adjust it according to your needs. Here\u2019s an example:\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"size-medium aligncenter\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Single%20Choice%202.png\" alt=\"edit form field\" width=\"390\" height=\"837\" \/> <span style=\"font-weight: 400;\">If you prefer this to be a drop-down option, you can simply add a \u201cDropdown\u201d field and adjust it as per your needs, as you can see in the screenshots below:\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Dropdown.png\" alt=\"add dropdown field to booking form\" width=\"898\" height=\"753\" \/> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Dropdown%202.png\" alt=\"booking form with dropdown field\" width=\"1615\" height=\"759\" \/> <span style=\"font-weight: 400;\">Both the single choice and the dropdown fields have the same features as the multiple-choice one, so you can adjust them according to your preferences and needs.\u00a0<\/span> <span style=\"font-weight: 400;\">5. Add a date field to allow them to select their preferred date for the online course. You can adjust these fields from the left-hand bar that will appear when you click on the respective field in the form. For instance, we thought our teachers would only be available on Monday, Wednesday, and Thursday &#8211; so we selected these days from the \u201cDate\u201d menu.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Date.png\" alt=\"add date to booking form\" width=\"1779\" height=\"766\" \/> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Date%202.png\" alt=\"booking system with custom dates\" width=\"1581\" height=\"773\" \/> <span style=\"font-weight: 400;\">Our form builder will allow you to add other very specific fields like the \u201cDate\u201d one as well. For instance, you might want to add a \u201cTime\u201d field, as shown in the screenshots below. You can also adjust this field according to your needs by clicking on it in the form builder (e.g. you can adjust it to show a 24-hour format, instead of a 12-hour one).\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Date.png\" alt=\"date field for booking system\" width=\"1779\" height=\"766\" \/> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Date%202.png\" alt=\"booking form with custom dates\" width=\"1581\" height=\"773\" \/> <span style=\"font-weight: 400;\">Our basic form is pretty much ready by this point, but we thought it would be a great idea if both the educational institution behind it and its students would be notified by email with each submission. Fortunately, you have access to Notifications on your Free plan, and this will allow you to set up an intricate Notification system to help you (and students) keep track of the information submitted through this form. Keep in mind that one notification equals one email and that you have one email notification template available on the Free plan. <\/span><span style=\"font-weight: 400;\">To set up notifications, you can follow these steps:<\/span> <span style=\"font-weight: 400;\">6. Go to \u201cNotifications\u201d on the left-hand sidebar (as you can see in the image below)\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Notifications%201.png\" alt=\"booking form builder editor\" width=\"1774\" height=\"802\" \/> <span style=\"font-weight: 400;\">7. Set up your notification. To begin with, we set up a notification email the course provider would receive each time someone sends in a form. Of course, you can adjust when this notification will be received by clicking on \u201cAdd Rules\u201d on the top right button and setting up your rules (e.g. to receive notifications only when a certain course is picked from the drop-down list)<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Notifications%202.png\" alt=\"booking system notifications setup\" width=\"1217\" height=\"597\" \/> <span style=\"font-weight: 400;\">This is how your email notification will look like:\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Notification%20Form%20Builder.png\" alt=\"example of an email confirmation for an online course\" width=\"1470\" height=\"541\" \/>8.\u00a0<span style=\"font-weight: 400;\">Next, we set up a notification for the user. To do this, you can add a \u201cNew Email\u201d from the menu on the left of the screen and select \u201cEmail\u201d instead of \u201cMy Email\u201d in the notification setup.\u00a0<\/span> <span style=\"font-weight: 400;\">Keep in mind that much of the notification setup is based on a series of variables. These variables will pull information from the form to customize the entire setup. For instance, here are some of the more commonly used variables:\u00a0<\/span><\/p>\r\n<ul>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">\u201cEmail\u201d refers to the email address of the person filling in the form\u00a0<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">\u201cMy Email\u201d refers to your email address (the person creating the form builder)<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">\u201cName\u201d refers to the name entered in the form\u00a0<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">\u201cAddress\u201d refers to the address entered in the form\u00a0<\/span><\/li>\r\n<\/ul>\r\n<p><span style=\"font-weight: 400;\">\u2026 And so on. These variables can be used by clicking on the \u201c+\u201d sign at the top right hand side of each field (\u201cTo\u201d, \u201cSubject\u201d, respectively \u201cBody\u201d).\u00a0<\/span> <span style=\"font-weight: 400;\">For example, you can also use the same variables to personalize the message you send to the user, as you can see in the screenshot below.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"size-medium aligncenter\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Notification%20for%20Sender.png\" alt=\"advance notifications setup for booking\" width=\"849\" height=\"792\" \/> <span style=\"font-weight: 400;\">This is how the user\u2019s email would look like:\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"size-medium aligncenter\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Notification%20Email%20for%20Sender.png\" alt=\"email booking confirmation sample\" width=\"1379\" height=\"629\" \/> <span style=\"font-weight: 400;\">9. Additionally, you can also personalize the Thank You message the form submitter would see when they send in their information. For the purpose of this example, we picked one of the funny themes available in the Dashboard (just to show off a little).<\/span> <span style=\"font-weight: 400;\">11. Click on the little painter\u2019s palette icon in the left-hand sidebar.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Design.png\" alt=\"design booking form\" width=\"1645\" height=\"734\" \/> <span style=\"font-weight: 400;\">12. Click on the \u201cChange theme\u201d button in the left-side menu\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Design%202.png\" alt=\"booking form styling\" width=\"1784\" height=\"788\" \/> <span style=\"font-weight: 400;\">\u2026 And by the end of this entire process, this is what our <a href=\"https:\/\/forms.polarbuildingcleaning.net\/form-5392928\/\" target=\"_blank\" rel=\"noopener nofollow\">form would look like<\/a> on a free 123FormBuilder plan. More specifically, some of the most important perks of upgrading to a Gold plan include the following:\u00a0<\/span><\/p>\r\n<ul>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Unlimited fields per form<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">5000 submissions per month\u00a0<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">500 MB storage space\u00a0<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Unlimited notifications\u00a0<\/span><\/li>\r\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">The option to add 3 conditional formatting rules\u00a0<\/span><\/li>\r\n<\/ul>\r\n<p><span style=\"font-weight: 400;\">To show you some of the things you can do on a Gold plan, we will set up some advanced form and field rules, as well as add a different language (because you might have just noticed that you get a lot of students from Spain, for example).\u00a0<\/span> <span style=\"font-weight: 400;\">Adding rules with conditional logic is very useful when you want your form to display additional options at the click of a specific button. For instance, if our Modern English Literature course has two modules (Advanced Modern English Literature Course and Introduction to Modern English Literature Course), we can set up a rule for these two options to only be displayed when the user clicks on \u201cModern English Literature\u201d.\u00a0<\/span> <span style=\"font-weight: 400;\">Let\u2019s see how we do this:\u00a0<\/span> <span style=\"font-weight: 400;\">13. First, you will have to add a new set of multiple choices by following the same path as described earlier in this guide. Ours looked like this:\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Multiple%20Choice%20the%20Second.png\" alt=\"booking system with multiple choice options\" width=\"1678\" height=\"850\" \/> <span style=\"font-weight: 400;\">14. To set up a rule, go \u201cRules\u201d on the left-hand sidebar.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Rules%20Good.png\" alt=\"booking form with conditional logic\" width=\"1250\" height=\"755\" \/> <span style=\"font-weight: 400;\">15. Tick the \u201cEnable field rules\u201d button and click on \u201cAdd rule\u201d.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Adding%20Rules%202.png\" alt=\"conditional booking form\" width=\"1454\" height=\"618\" \/> 16. Conditional logic rules function on the IFTTT model (if this, then that). As such, we selected IF \u201cModern English Literature\u201d from the drop-down menu on the left and we selected \u201cis checked\u201d from the drop-down menu on the right, as shown in the screenshot below, and then we clicked \u201cContinue\u201d. <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Adding%20Rules%203.png\" alt=\"create rule for booking form\" width=\"1353\" height=\"599\" \/>17.\u00a0<span style=\"font-weight: 400;\">Under \u201cTHEN\u201d, we selected \u201cMultiple Choice\u201d (we did not rename the second multiple choice field, so this is how it appeared for us &#8211; but if we had renamed it, we would have selected the name of the new multiple-choice field).\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-medium\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Adding%20Rules%204.png\" alt=\"booking system with branching and conditional logic\" width=\"1393\" height=\"650\" \/> <span style=\"font-weight: 400;\">\u2026 And this is how the form would look in the end.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"size-medium aligncenter\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Adding%20Rules%205.png\" alt=\"booking system with conditional rules\" width=\"800\" height=\"610\" \/> <span style=\"font-weight: 400;\">You can also link conditional logic and your notification system as well. For instance, let\u2019s say we need some information from students if they select one of the \u201cModern English Literature\u201d options. Go to \u201cNotifications\u201d, then on \u201cNew Email\u201d in the left-hand menu.\u00a0<\/span> <span style=\"font-weight: 400;\">19. Click on the \u201cAdd rules\u201d button at the top right side of the Notifications setup page.\u00a0<\/span> <img loading=\"lazy\" decoding=\"async\" class=\"size-medium aligncenter\" src=\"https:\/\/staticresources123.s3-us-west-2.amazonaws.com\/blog-images\/Adding%20Rules%20Notifications.png\" alt=\"booking system notifications with conditional logic\" width=\"878\" height=\"759\" \/> 20.\u00a0<span style=\"font-weight: 400;\">Set up the conditional logic rule.
